Payroll accounting with Infoniqa

The Bosch Group is a leading technology and service company with the business fields of automotive and industrial engineering, consumer goods and building technology. In Austria, the company has 2,740 employees and generated sales of almost one billion euros in 2011, with more than 300,000 employees worldwide generating around 51.5 billion euros. The Bosch Group is represented by subsidiaries and sales partners in 150 countries.

Angered resource killer

In the Bosch branch in Vienna, wages and salaries for around 1600 employees are settled in all of Austria. Up until recently, the wage and salary slips for the employees were sent by letter (house) mail. For this, the personnel bill had to print it out of the Payroll system, to envelope it, to provide it with a seal stamp and to put it in the mail.

Check for revision-proof solution

"At our sites in Austria, this involved a huge amount of resources, mainly working time in the personnel billing, secretariats and post office, as well as paper, postage and messengers, in order to distribute the payment receipts to the recipients Of the envelopes cost two persons a month for two working days per day, and there were always mistakes and delays in the mail, some recipients landed in the wrong recipients or were not picked up in the secretariats, "explains Karoline Fessl-Weghuber, And salary accounting at Bosch Austria.

Saving superfluous costs

In order to save these resources, different approaches were considered. "Sending by e-mail directly from the system was not practical, because the security requirements could not be fulfilled, which should protect against unauthorized access to the remuneration document. Shipment via the bank also proved to be not useful, as this alternative only provided But the company did not provide any additional information for employees, such as the company's internal personnel and ID number, "says Fessl-Weghuber

Robert Bosch AG has been using the LOGAVplus billing software as well as the TravelTravel solution WebReise from Infoniqa for years. As a satisfied customer, the IT specialist - as well as other suppliers - was therefore offered solutions for the efficient distribution of the wage and salary slips.

It was necessary to meet some specific requirements, such as the revision-safe registration of the employees in the IT system, the safe opening and printing of the remuneration documents, but also the connection to the time recording and travel cost accounting system.

"We have a high security standard for the handling of confidential data, so the password for entering the IT system must be changed regularly and the electronic access to the payroll data must be secured, as this may only be for the respective addressee Accessible, "Fessl-Weghuber explains.

After comparing the different solution variants, Bosch chose the modular HR solution engage! Of Infoniqa. After setting up the solution as well as the standard interface to the billing software for the periodical import of personal data, the first test runs followed.

In September 2011, the real enterprise and the training of the employees began gradually by department and location. The engage! Portal now distributes the wage and salary slips via an electronic workflow. After logging on (single sign-on with NT password), the employees can access their remuneration documents at any time, regardless of their location, but also access their master data, ID card, personnel and social insurance number and have direct access to the time recording and travel bill >

When a new salary or wage slip is available, employees receive an e-mail with a link that allows direct access to the portal. Then, with a separate password, the employees can open the document in PDF format and print it securely.

"The system is easy to use and the security requirements are met. Infoniqa has also convinced us with its high professional competence and a lot of experience, even if there was a personnel bottleneck at the beginning of the project by the IT specialist. However, this deficit could be eliminated soon and the cooperation is now excellent, "says Fessl-Weghuber.

The solution not only impresses the Bosch personnel billing but also the workforce: the one-time registration for the various personnel billing systems and the simple operation of the system ensure a high degree of acceptance and practicality of the solution. In addition, employees can call up remuneration records from the past twelve months directly in the system, regardless of their whereabouts.

The savings achieved by Bosch Austria through the electronic distribution of the wage and salary slips exceed all expectations: "In sum, we save a lot of working time and several thousand euros for envelopes, paper and postage each year To the climate protection that we are doing as an environmentally conscious and innovative company, "explains Fessl-Weghuber.

In the next step, Bosch plans to electronically send other documents to the workforce, such as annual wage sheets, award letters or other employee-specific information.

"Further Austrian Bosch subsidiaries have already announced their interest in the solution and soon the paperwork around the payment receipts will be replaced by the modern electronic system," Fessl-Weghuber said.
